1 readyGSE-Web for hotel maintenance, at a glance
GSE-Web is an online stock management software for a hotel's technical storeroom: spare parts and consumables for HVAC, elevators, plumbing, lighting and fire safety. It is designed for maintenance departments in hotels and buildings, and replaces calls to the storeroom, back-and-forth trips and the spreadsheet. Technicians see the stock and reserve parts from their smartphone, on any floor.
- Parts reservation from the field: a reserved part is no longer available for another job.
- Maintenance kits: a composite product groups the parts of a standard job, and issuing it decrements each component.
- Location of every part in the technical storeroom: aisle, rack, level.
- Email alert when a critical part falls below its minimum threshold.
- Entries on a smartphone even without a network, in the basement or a plant room: synchronised when the connection returns.
- Pricing: from €199 excl. VAT per year for one user (PRO plan) and €500 excl. VAT per year for a team of 5 (TEAM plan); free online demo. See pricing.
4-star hotel, 34 floors.
Everything must run continuously.
Incident on the 34th floor
A technician receives a call: 'The HVAC in suite 3408 is no longer working.' In a 4-star hotel, every minute counts. An unhappy guest means a negative review, a comped night, a damaged reputation.
Before GSE-Web — the typical scenario:
- ✕ Call the basement to check stock
- ✕ Wait for confirmation (if anyone answers)
- ✕ Walk down 34 floors to check yourself
- ✕ Sometimes go back up without the right part
20 to 40 minutes lost. Guest waiting. Intervention delayed.
7:13 AM — With GSE-Web: everything changes
The technician pulls out his smartphone. He opens GSE-Web and searches for the needed part. Within seconds, he sees the real-time stock:
Available in the basement — ready to reserve
Reserved — locked for another intervention
Pending — supplier order in progress

Reservation from the 34th — preparation in the basement
From his smartphone, the technician creates a reservation: equipment concerned (HVAC suite 3408), part type, intervention urgency.

Frequently asked questions about hotel maintenance stock
Which stock management software for a hotel maintenance department?
GSE-Web is an online stock management software that runs a hotel's technical storeroom: spare parts, consumables and maintenance kits. Technicians check stock and reserve parts from their smartphone, then the storekeeper prepares the request. It runs in the browser with nothing to install, and on Android or iOS.
How do you stop a part reserved for a job from being used elsewhere?
In GSE-Web, a reserved part is removed from available stock until it is issued or the reservation is cancelled. The technician sees whether the part is available, already reserved or on order from the supplier. Each withdrawal is then recorded with its author, date and quantity.
Can a technician record a withdrawal from the basement without a network?
Yes. The GSE-Web smartphone app scans the part with the camera and records the withdrawal. Without a network, in the basement or a plant room, the entry is kept on the device and synchronised automatically when the connection returns.
How much does GSE-Web cost for two hotels and 6 technicians?
For 6 users on 2 sites, GSE-Web costs €600 excl. VAT per year on the TEAM plan: €500 for the 5 included users, plus €100 for the sixth. Beyond 2 sites, the ENTERPRISE plan, at €1,200 excl. VAT per year for 10 users, has no limit on the number of sites.
How do you set up GSE-Web in a technical storeroom?
The parts list is imported from an Excel file, then each part is given its location (aisle, rack, level). GSE-Web prints labels with a barcode or QR code, which technicians scan with their smartphone. Data is hosted in France, by OVH.
What if every intervention was resolved in
less than 30 minutes?
- →Do your technicians see stock in real time?
- →Can they reserve a part from the field?
- →Is each equipment structured with its parts?
If not:
every minute lost costs dearly — in satisfaction and operations.
